Licensing operational data

Licensing defines a permitted use of approved records. It requires understanding the source, the relationships between records and the permissions that apply before preparation or delivery.

Establish authority and scope

Control of a system does not automatically settle every right in its contents. Check ownership, customer and supplier agreements, confidentiality obligations and restrictions on personal information. Flag uncertain permission explicitly. A limited assessment sample and a licence to a buyer are separate decisions.

An inventory should say what is included and excluded, which systems supplied it and how the selection was made. Keep the original source context and identifiers that are necessary to explain linked events. Do not substitute an impressive headline volume for a clear account of usable coverage.

Prepare the connected history

A workflow may span documents, messages, revisions, actions and results. Relationships and timestamps let a reviewer understand the sequence without assuming that every export is complete. Missing attachments or outcomes should be described as gaps rather than reconstructed as if they were source evidence.

Preparation addresses the exclusions agreed for the records and intended use. Credentials, payment details, personal information and confidential business information must be considered before a package is shared with a buyer. Review what the combined records could reveal as well as individual fields.

Agree permitted use before delivery

The agreement identifies the buyer, permitted uses, scope, duration and applicable retention or deletion terms. It should also address any exclusivity and future updates that are actually agreed. A description of possible AI research uses does not itself authorise model training or wider commercial reuse.

Treat each delivery as a defined package. Record its contents, restrictions and agreed review status. If data changes over time, agree the scope and cadence of later updates and reassess any new record types or permissions. Start with an enquiry before sending a sample.
